Order Management Specialist

 

Position Summary:

The Order Management Specialist plays a critical role in ensuring customer satisfaction and operational efficiency by managing the end-to-end order process. This includes order entry, coordination with internal departments (such as sales, production planning, logistics, operations quality, and controlling), and ensuring timely and accurate delivery of industrial products and systems. The role requires attention to detail, strong communication skills, and a solid understanding of industrial supply chains and ERP systems.


Key Responsibilities:

  • Order Processing:
    • Receive, review, and enter customer orders accurately into the ERP system (D365 advantage).
    • Verify product availability, delivery terms, and customer requirements.
    • Ensure compliance with contractual terms, customer agreements, customer portal requirements and internal policies.
  • Customer Communication:
    • Serve as the main point of contact for order management
    • Communicate order confirmations, delivery updates, and manage changes or cancellations.
    • Resolve issues proactively to ensure customer satisfaction.
  • Coordination with Internal Teams:
    • Work closely with Sales, Production, Logistics, and Procurement teams to ensure timely order fulfillment.
    • Coordinate with supply chain teams for backorders or product lead times.
    • Escalate and follow up on critical or delayed orders.
  • Documentation & Reporting:
    • Maintain accurate records of all orders and communications.
    • Generate order tracking reports and KPIs related to delivery performance, order accuracy, etc.
    • Support audits and process improvement initiatives.
  • Process Improvement:
    • Identify inefficiencies in order handling and recommend process improvements.
    • Support automation and digitalization projects related to order management.

Requirements:

  • Education: Bachelor’s degree in Business Administration, Supply Chain, Industrial Engineering, or a related field.
  • Experience: 2–5 years of experience in order management, customer service, or supply chain, preferably in the industrial or manufacturing sector.
  • Languages: Fluent English
  • Technical Skills:
    • Proficiency in ERP systems (SAP, D365, etc.)
    • Familiarity with customer requirements and customer portals in case of usage
